Job Description:
General Summary:
The incumbent provides leadership to and management of conference operations at Camp Casey and Fort Casey Inn
. This includes guest services, fiscal operations and human resources management responsibilities with an ongoing evaluation and improvement of overall conference center operations. Advocates on behalf of Camp Casey Conference Services to SPU the needs and opportunities presented at Camp Casey. They have a keen awareness of both local connections on Whidbey Island and Seattle Pacific University.
This position includes on-site residency at the Casey campus.
Job duties include:
Oversees all client contracting and services from inquiry to final billing and evaluation. Maintains ongoing relationships with recurring clientele, procuring new clientele, and expanding positive engagement for bookings through all available sources. To include short and long-term planning, continual evaluation of new opportunities and arrangements with local organizations for outdoor education programs.
Ensures highest and best use of all resources available including physical and digital resources. Leverages conference services software by attending training opportunities offered by system providers and ensuring on site staff are fully trained.
Manages Casey Conference Services staff, maintaining staffing levels as necessary through recruitment and onboarding, and ongoing development of the team through annual performance reviews and vision casting in partnership with the Casey Facilities Site Manager.
Works in partnership through regular meetings and communication with various SPU departments to support growth of clientele base and revenue generation. In collaboration with Facility and Project Management and Casey Facilities staff to provide input for prioritization of deferred maintenance and capital improvement projects. Providing revenue projections to aid in the short and long-term planning functions of Casey.
In collaboration with the Casey Facilities Site Manager to inform maintenance and repair activities and minimize impacts to conference guests. Communicating client-specific needs and client arrival/departure dates for housekeeping coordination.
In collaboration with University Communications to research, plan and execute marketing efforts, promotional materials and social media presence.
In collaboration with Computer Information Systems for assessment, selection, implementation, and ongoing upkeep of technological solutions for event planning, guest services, internal Casey communication and other needs.
In collaboration with University Services staff to analyze, audit, maintain and project an accurate budget for Casey, and to process all accounts payable and accounts receivable.
In collaboration with the Executive Director of University Services to manage all aspects of contracted service providers including food service, long term rentals and bi-weekly meetings.
Serves as a representative of SPU and Casey to local organizations and entities such as local Chamber of Commerce, Island County committees, and local meetings for parks (Ebey's Landing National Historical Reserve and Washington State Parks). Also participates in industry specific associations for development and networking purposes.
Advocates for the needs and priorities of Casey Conference Services to main campus, serving as the primary link between main campus and Casey Conference Center for conference operations, through regular supervisory meetings with the Executive Director of University Services.
Ensures completion of regular operational tasks including but not limited to email, phone and mail processing, security of SPU issued equipment, process documentation, file maintenance and use of available software systems for ongoing processes.
Maintains residency at Casey Conference Center.
Participates in rotation of on-call schedule for off hours and weekend client support coverage.
Requirements:
Bachelor's degree in relevant or related field, or equivalent experience is required. Master's degree in related field, a plus.
Knowledge and experience in conference center operations including contract procurement and negotiation. Five plus years experience, preferred
Dual expereince with guest services and facilities collaboration, highly preferred.
Must show evidence of strong initiative, leadership skills, ability to work well with others, strong negotiation skills and utilize a self-directed work style.
Excellent verbal and communication skills.
Proficient with Microsoft Office suite including Word, Excel, Outlook and Teams.
Experience with StarRez, AirBnB, or ResNexus, a plus.
Capable of climbing stairs and moving furnishings as needed.
Must possess a driver's license and good driving record.
Additional Information:
Position will remain open until filled. This position is located in Coupeville, WA, located at the Camp Casey Conference Center.
Salary: $66,504.00 annually, plus on campus residence
This is a full time position with excellent benefits. SPU pays the employee premium for medical, dental, and vision insurance. SPU makes contributions to an employee HSA account and to a retirement account after one year of eligibility in the plan.
