UM Broader Impacts Group
(BIG) invites applications for a full-time
Associate Director of Finance (ADF)
to join their team on campus. The ADF will work closely with BIG’s director by providing administrative leadership, financial oversight, and management of federal, tribal, state, city, and private grants and contracts for BIG and its programs. This position exercises a high level of autonomy in maintaining and monitoring budgets, maximizing organizational financial performance, managing large, externally sponsored projects, and supervising the administrative team. Specifically, the ADF is responsible for providing professional-level accounting, budgeting, and administrative services to all of the programs within BIG.
Responsibilities include managing and coordinating all fiscal operations and independently developing and managing budgets, including planning, assessing, forecasting, consulting, and reporting for all fiscal accounts. Fiscal management includes grants, UM Foundation accounts, sales and service accounts, and state-funded accounts. The position will oversee BIG’s administrative associate manager, who is responsible for coordinating and verifying purchasing, payroll allocation, account reconciliation, execution of cost transfers, requests for personnel transactions, and other transactions.
The ADF maintains productive working relationships and positively represents BIG to the public, campus administrators, faculty, staff, and students. This position serves as the liaison between BIG and the Office of Sponsored Programs (OSP) for all levels of grants management, including both pre-award (budgeting and submission) and post-award (expense projections and oversight, preparation of progress reports, etc.) management. The ADF will advise the director on all financial matters related to BIG’s operations and will work to facilitate the director’s goals for the organizations.
Specific Duties include:
Advise program directors on personnel policies and decisions, financial performance, and resource allocations
Manage and oversee all fiscal operations, including planning, assessing, forecasting, consulting, and reporting for all fiscal accounts within BIG; fiscal management includes auxiliary, designated, UM Foundation, and federal grant accounts, which total over $2 million annually
Serve as the liaison between BIG and campus offices, including OSP, Business Services, and Human Resources Services
Work with BIG’s director to collectively set a vision for BIG’s continued success and then help to develop and implement a strategic plan and ensure that benchmarks are met
Identify fiscal trends and track benchmarks to ensure organizational growth
Maintain and monitor staffing budgets and expectations to fulfill organization requirements
Assist the director with managing and leading large collaborative projects
Work with BIG’s administrative associate manager to process payroll
Assist BIG program directors with the recruitment process as needed
The ADF is responsible for overseeing the financial performance of BIG and its programs as well as supervising BIG’s administrative associate manager; this position must exercise a high level of autonomy

Position Details
Position is full-time, 1.0 FTE, Letter of Appointment and includes a comprehensive and competitive benefits package

Salary for this position is $58,000 - $63,000 per year, commensurate with experience
Minimum Requirements
At least two years’ experience managing large collaborative projects, supervising employees, and overseeing budgets
Ability to manage all personnel and fiscal matters in a professional and confidential manner
Excellent oral and written communication skills
Ability to work well under pressure and manage multiple projects at once
Ability to work independently as well as collaboratively
Proven community-building skills
Analytical and problem-solving skills as well as flexibility
Superior attention to detail skills with a high level of accuracy
Knowledge of best practice accounting and budgeting and strong fiscal and organizational management skills
Advanced programming skills in Microsoft Excel. Ability to create and manipulate mathematical formulas, numerical and text data within spreadsheets, and to create and manage complex and multi-page budget spreadsheets
Preferred Qualifications
High degree of organization, self-motivation, and the ability to lead and manage multiple projects
Knowledge of UM’s pre- and post- grant budget processes
Demonstrated ability to develop operating plans and oversee budgets using effective financial strategies, models, and projections
Experience using UM’s Banner accounting system, particularly functions related to purchasing and payroll activities
Experience with UM’s systems such as UMDW, Infogriz, U-approve system, PAR, and Cayuse
Experience with and ability to advise others on best practices for conforming to UM purchasing guidelines
