We develop the advanced products and technologies Shell needs to meet customer demand. Our solutions help our partners grow the LNG, Gas and Power businesses, deepen the integration of Manufacturing, Chemicals and Trading, and maximise the competitiveness of our Upstream business.

What’s the role?

Information Management (IM) Analyst function as first point of contact for the assigned scope on Information Management and advise on the full capabilities of Information Management solutions. You will manage day-to-day operations of end-to-end data maintenance activities within assigned scope. Pays special attention to I&D quality management processes (including measurement and reporting) and quality improvement activities (cleansing, conversion, etc.).

Accountabilities

Responsible for acquiring or receiving information from internal or external sources

Accountable for executing data capture process improvements

Responsible for organizing or arranging information in an agreed structure

Responsible for classifying information so that it can be found

Responsible for storing/archiving/publishing information via designated tools or repositories

Responsible for finding or locating information or enabling information retrieval in a useable format

Responsible for preserving and protecting information until closure of litigation, audit, or investigation

Responsible for disposing of information per Group Standard and Guidelines

Responsible for training and advising individuals in correct application of I&D

Responsible for appraising I&D initiatives against the plan

Responsible for monitoring I&D health, maturity, and compliance

Implement procedures and specifications governing the document control process, including document control procedure, document numbering specification, correspondence procedure, archiving specification, and other documentation together defining the Document Control framework for assigned scope

Comply with specifications for documents (requirement, control, delivery) for Internal and external design and vendor document

Comply with the Company Records Management for Controlled and not Controlled documents

Maintain the Doc Control System and Electronic Document Management System (EDMS) for assigned scope

Drive improvements within the Document Control scope through leadership, standards, and behaviours

Implement solutions that educate and encourage internal and external stakeholders to become more collaborative and contribute to the value Information Management provides.

Consult with project teams and vendor suppliers to establish and oversee handover of Project documents

Oversee and evaluate document controller assigned work for assigned scope

What we need from you?

Must have legal authorization to work in the US on a full-time basis for anyone other than current employer

Minimum seven (5) years relevant work experience in Information Management experience

Bachelor’s Degree is preferred

Knowledge of IM tools and technologies including Microsoft SharePoint and O365 applications

Understanding of how to use analytics, trends analysis and proactive monitoring to improve Information Management processes

Able to provide guidance and support to ensure compliance on data privacy [GDPR] and Trade Controls and other similar regulations

Familiar with technical IM tools (Assai, Engineering Data Warehouse, and Sharepoint)

Possesses a general understanding of the business applications of I&D and related systems

Demonstrates an understanding of current developments in the application of I&D and can assimilate and interpret advice from specialists

Exceptional written and verbal communication skills, ability to translate complex issues for consumption by technical and non-technical audiences at all levels

Has a good understanding of the organization’s business processes and their degree of dependence on systems specific to I&D

Demonstrates the special leadership skills needed to manage innovation and change resulting from the implementation of new I&D and technology solutions

Demonstrates good negotiation skills with experience of dealing with users, other staff, and suppliers

Understands and can put in practice Continuous Improvement methodology in support of Operational Excellence Activities
