SUMMARY

Under the direction of the VP of Shareholder Development and in accordance with BSNC guidelines, policies, and federal laws, this position shall provide leadership support in developing and leading ongoing shareholder development. The Shareholder Development & Facilities Manager is responsible for confidential and time sensitive material and must be able to effectively communicate via phone and email in a professional manner. This position requires great attention to detail, and the Shareholder Development & Facilities Manager duties must be completed accurately and delivered with high quality in a timely manner.  Applicant must be a Bering Straits Native Corporation shareholder, descendant of a shareholder, or spouse of a shareholder to be considered for this position.

ESSENTIAL DUTIES & RESPONSIBILITIES

Supervisory Responsibilities

May hire, train, and oversee Shareholder Development department staff as assigned.

Receive programmatic assignments from the VP of Shareholder Development and coordinate the identification, design and delegation of associated project tasks and projects to assigned team members. Evaluate the effectiveness of assigned programs and recommends areas of improvement.

Track team progress, monitor team tasks, ensure optimal team performance and adherence to programmatic deadlines. Oversee scheduling, assignments, and the daily workflow of assigned staff and/or consultants. Provide constructive and timely performance evaluations.

Submit team projects and program metrics to the VP of Shareholder Development for ongoing review and approval and keep the VP of Shareholder Development regularly apprised on programmatic status.

Facilities/Administration

Collaborate with the Shareholder Development & Administrative Manager to manage Anchorage office administration and/or facilities activities, including, but not limited to, ensuring the following activities are completed successfully:

Design and implement office standards and procedures; measuring results against standards; making necessary adjustments.

Maintain office services by organizing office operations and procedures; controlling correspondences; reviewing and approving supply requisitions; assigning and monitoring clerical functions.

Manage employee schedules and troubleshoot scheduling conflicts as they arise.

Order supplies and equipment as needed.

Establish team atmosphere through leadership and employee development.

Managing executive’s calendar and meetings.

Organize and manage common areas throughout the Anchorage office.

Oversee the inspection & maintenance on assigned equipment and facilities.

Ensure assigned facilities and equipment are ready for regular business and special events.

Maintain files of leases, warranties, records, licenses, inspections, service agreements, and contracts for various facilities and/or equipment.

Maintain inventory, storage, and distribution of company art and equipment as applicable.

Provide recommendations for purchases of new equipment as applicable.

Aligning Vision, Mission and Corporate Culture

Collaborate with the shareholder development staff, hiring managers, Plan Review Committee, and the VP of Shareholder Development to

design, implement, and continuously improve Shareholder Development department-delivered orientation to be delivered to all employees, on topics including, but not limited to cultural values, balancing roles and responsibilities, the intent of ANCSA, and understanding the cultures of the region.

Collaborate with shareholder development staff, hiring managers, Plan Review Committee, and the VP of Shareholder Development to design, implement and continuously improve an interactive program to invite executives and managers to share cultural experiences in the Bering Straits region.

Collaborate with shareholder development staff, hiring managers, Plan Review Committee, and the VP of Shareholder Development to design, implement and continuously improve initiatives intended to celebrate employees for meeting Shareholder Development goals.

Shareholder / Descendant Employee Career Development Program

Collaborate with shareholder development staff, hiring managers, Plan Review Committee, and the VP of Shareholder Development to design, implement, and continuously improve Shareholder Development department-delivered orientation to be delivered to all shareholder employees on topics including, but not limited to using cultural values to succeed in the workplace, balancing roles and responsibilities, the intent of ANCSA, and understanding BSNC’s businesses and corporate culture.

Collaborate with hiring managers, Plan Review Committee, and the VP of Shareholder Development to design, implement and continuously improve the Shareholder / Descendant employee career development program to ensure shareholder / descendant employees have the necessary skills and tools to succeed. Include coaching on tools to enhance current performance, not just pathways to promotion.

Collaborate with hiring managers, Plan Review Committee, and the VP of Shareholder Development to design, implement and continuously improve a leadership development and management training program for shareholders and descendants.

Collaborate with the Shareholder Development & Administrative Manager to maintain and improve the Summer Intern program, recommend areas of improvement, and assist in the marketing and recruitment for the program as needed.

Shareholder / Descendant Sourcing, Recruiting and Training

Collaborate with shareholder development staff, hiring managers, Plan Review Committee, and the VP of Shareholder Development to design, implement and continuously improve a program to hire and train shareholders/descendants for mentorship positions designed to develop career pathways, grow the skilled workforce of the Corporation, and build additional skills and experience in Our People.

Collaborate with the Shareholder Development & Administrative Manager, hiring managers, Plan Review Committee, and the VP of Shareholder Development on the design, implement, and continuous improvement of shareholder sourcing and recruiting activities and the accompanying reporting and processes as needed. Conduct outreach to hiring managers with open positions, recruit qualified shareholders and descendants to apply for open positions, and track fulfillment and selection/non-selection of shareholder candidates.

Collaborate with the Shareholder Development & Administrative Manager, hiring managers, Plan Review Committee, and the VP of Shareholder Development to maintain and improve the Descendant Registry and Talent Bank, recommend areas of improvement, and assist in the marketing and recruitment for both programs as needed.

Shareholder Development Policy and Training

Collaborate with shareholder development staff, hiring managers, Plan Review Committee, and the VP of Shareholder Development to design and implement training and other internal materials to support the company’s shareholder preference and continuously reinforce and measure progress.

Collaborate with the Shareholder Development & Administrative Manager and the VP of Shareholder Development to support the Beringia Settlement Trust scholarship program as needed.

Shareholder Outreach

Collaborate with the Shareholder Development & Administrative Manager and the VP of Shareholder Development to administer and perform duties to ensure that BSNC’s shareholders and descendants are provided timely information on employment, advancement, training, and educational opportunities and any benefits provided by BSNC and/or BST.

Coach individual Shareholder applicants and employees on resume writing, interview skills, skill development, job performance, training, and other professional development activities to accomplish their career goals.

Represent BSNC and promote the mission at selected conferences, job or recruiting fairs, forums, and meetings.

Manage activities related to the planning, organizing and follow-through on events related to shareholder development. Direct volunteers and/or participants in carrying out their duties and responsibilities.

Develop and maintain effective relationships with community and organizational leaders that support the goals of the Shareholder Development department and the mission of BSNC.

Program Administration

Handle sensitive information in a confidential manner.

Develop reports to assist with analyzing organizational objectives and relevant financial data, program structure and objectives, and other sources of funding and budgets.

Collaborate with shareholder development staff, hiring managers, Plan Review Committee, and the VP of Shareholder Development to develop and document Shareholder Development Department procedures.

Assist with the preparation and monitoring of annual department budgets for each upcoming year as needed.

Provide information and reports to support the development of short and long-term strategic plans and goals relating to shareholder development and BST programs and monitor and report on progress of strategic plan initiatives relating to shareholder development and BST programs.

Maintain computer and manual filing systems. Coordinate office procedures.

Carry out administrative duties such as filing, typing, copying, binding, scanning, faxing, etc. Prepare template agreements and emails on behalf of other office staff. Prepare accurate meeting minutes and monthly expense reports for managers and staff as directed.

Other duties and special projects as assigned. Must be flexible and available to perform other duties in support of BSNC’s various programs.

QUALIFICATIONS - EXPERIENCE, EDUCATION AND CERTIFICATION

Required (Minimum) Qualifications

Bachelor’s degree in Business, Human Resources, Education, or related field. A combination of education and experience may be used to meet educational requirements.

Experience with employee development or relations.

Experience with planning and organizing activities and events.

Valid state driver’s license.

Experience administering special projects.

Verified shareholder, descendant of a shareholder, or spouse of a shareholder of BSNC.

Knowledge, Skills, Abilities, and Other Characteristics

Ability to travel as necessary and willing to workdays, evenings, nights, overtime, and weekends as required.

Working knowledge of ANCSA and Alaska Native history.

Knowledge of Bering Straits region, history, and culture.

Ability to set priorities, handle multiple tasks and application deadlines with a high degree of accuracy.

Ability to develop and implement projects using knowledge of good business practices, policies and organization.

Excellent time management skills and ability to multi-task and prioritize work

Attention to detail and problem-solving skills

Excellent written and verbal communication skills

Ability to work cooperatively with all levels of an organization, including Board of Directors, executive team, and interns.

Ability to work independently and apply sound judgment to a variety of situations and collaborate effectively with other personnel to meet deadlines.

Strong presentation skills.

Adept with a variety of multimedia training platforms and methods.

Ability to evaluate and research training options and alternatives.

Ability to design and implement effective training and development.

Preferred

SHRM Certified Professional (SHRM-CP) or SHRM Senior Certified Professional (SHRM-SCP) credential preferred.

WORK ENVIRONMENT

Work Environment characteristics described here are representative of those that must be borne by an employee to successfully perform the essential functions of this job. 

Job is performed in an office setting with exposure to computer screens and requires extensive use of a computer, keyboard, mouse, and multi-line telephone system. The work described herein is primarily a modern office setting. Occasional travel may be required.

SUPERVISORY RESPONSIBILITIES

Hires and supervises direct reports.

ADDITIONAL QUALIFYING FACTORS

As a condition of employment, may be required to pass a pre-employment drug screening, as well as have acceptable reference and background check results. Must have reliable transportation to/from work a necessity.
