Assistant International Program Managers

to join their team. The Assistant International Program Manager is a multi-faceted role at the Mansfield Center, ensuring that international programs run smoothly, with high impact for international participants as well as the many U.S. stakeholders involved in the programs. These positions work on a variety of international exchange programs providing direct support to participants as well as serving as a liaison between U.S. partners, community members, and UM colleagues. The Assistant International Program Managers are an integral member of the Mansfield Center team who contributes to a quality work environment.

This is a fast-paced position that requires critical thinking skills to address multiple, varied logistics in support of international exchange activities. The primary focus of the position is supporting the success of nearly 100 international short-term visitors to UM or through virtual exchange each year. The position requires extensive public engagement with U.S. and international stakeholders, as well as significant computer work in terms of database and organizational management. The position collaborates with a diverse team in a professional and expeditious manner to engage with the public, including students, faculty, and community members, as well as visiting international students, scholars, and professionals. The position coordinates services, activities, and offerings of selected programs, with a focus on U.S. Department of State exchange activities. The position organizes and troubleshoots program logistics, especially complex domestic and international travel arrangements. The position also coordinates the promotion and logistics of public events such as weekly academic year dialogues, annual conferences, publicity and outreach, and other opportunities for community engagement. In order to successfully conduct these activities, the position builds and maintains relationships; develops electronic and written materials, information sessions, and direct outreach; creates and edits extensive program material and design elements; organizes and maintains paper and electronic files; creates and compiles evaluations and reports; and contributes to website content and social media, including Facebook, Instagram, Twitter, and blogs

Duties and responsibilities of this position include but not limited to:

Conducts outreach, communication, and events to promote and coordinate international exchange activities (in-person and virtual).

Manages and monitors critical logistics for international exchange activities.

Provides general program management and technical expertise.

Administrative tasks to support Mansfield Center.

This position requires incumbent to develop a working knowledge of:

Advanced knowledge of Center programs and objectives.

Establish and maintain working relationships in order to successfully coordinate with external vendors and UM units such as Business Services, Housing, Global Engagement Office, Office of Research and Sponsored Programs, and Campus Dining.

Working knowledge of UM databases such as Banner, GrizMart, InfoGriz and UApprove.

This position requires extensive independence and critical thinking skills. This position may report to multiple program managers and directors, as simultaneous and overlapping programs and events require extensive collaboration and communication with multiple staff members. This position also requires the supervision of up to three student employees. Candidates must be able to prioritize tasks to ensure efficiency and to meet deadlines, as well as balance many details and programmatic nuances. Supervision involves training (providing information on UM/Center/program resources, policies, and procedures), thoughtful distribution of and oversight of tasks, and ensuring that critical functions with urgent timelines are completed in an efficient and effective manner.

In addition, this position will act as a co-point of contact for international program participants and project team members regarding various aspects of programming. Such team members may include Center colleagues, guest speakers, external vendors and professional consultants.

Ability to troubleshoot programmatic or participant issues independently.

Ability to manage varied and urgent tasks with tight deadlines, prioritize and shift tasks when needs arise and to maintain efficient workflow.

Strong communication skills required to represent the Center in written, verbal and nonverbal exchanges to ensure the best support to program members including international program participants, student employees, Center administrative staff, other project managers and vendors.

Ability to anticipate office and participant needs, take initiative, and motivate others to perform at their highest professional level.

Ability to work under and take direction from more than one person.

Ability and willingness to maintain accurate records and maintain strict confidentiality when working with proprietary information.

Proven ability to work and communicate successfully both in person and via email within a team and with people from diverse international and cultural backgrounds who are English language learners.

Demonstrate an understanding of diversity and inclusion in order to support international and domestic program participants and partners of varied backgrounds.

Skilled in the use of personal computers, including Excel spreadsheets, PowerPoint presentations, Word documents, and programmatic reports. Demonstrated capacity to learn additional electronic resources such as Qualtrics, Zoom, Trello, Canva, and other UM systems.

Comfortable making complex travel arrangements and able to escort program participants in travel across Montana when required.

Ability to drive across Montana on field studies. Ability to engage in strenuous travel, such as escorting groups of up to 21 fellows together with one other UM employee on eight-day study tours to other states that might incur up to 15-hour days.

Ability to have a flexible schedule with non-traditional hours, including evenings and weekends during peak program times.

Capacity to escort international groups during moderate to strenuous outdoor activities, including but not limited to mountainous hikes and whitewater rafting.

Minimum Required Experience

High School diploma and two (2) years of closely related experience or an equivalent combination of education and experience.

Preferred Qualifications

Bachelor’s degree

Experience studying or living abroad, or experience domestically with international audiences.

Partial or full fluency in a foreign language.

Experience making international travel arrangements and making local travel arrangements abroad.

Capacity to actively engage in long workdays, including evenings and weekends during program implementation periods, and program sessions and events outside of business hours.
