invites applications for a
Work Order Center Manager
to join their team. This individual will provide leadership for Facilities Services' Work Control Center and be the primary person occupying the Work Control Center. They will also provide training for staff who assist in the Work Control Center during busy times or during emergencies to generate work orders and assign work to appropriate crews.
This position is also responsible for client-side maintenance, application management, documentation, business analysis, and training on FAMIS, the specialty facilities computerized maintenance management system (CMMS) software used by Facilities Services. This multi-faceted software suite including modules for Work Order, Procurement/Inventory, Incident Reporting, Inspections and Preventive Maintenance. This individual will be expected to be the resident expert on this specialized application and the interaction between it, Banner and GrizMart in order to maximize the successful use of the system.
Additionally, this position works closely with the CMMS vendor and Facilities Services IT support staff to maintain and optimize use of this system. The incumbent will analyze user needs and work with Facilities IT Staff to design, develop, test, and maintain the technical solutions used by Facilities Service. They will provide training and support to Facilities' staff across the University of Montana campuses (UM-Missoula, UM-Western, Helena College, Montana Tech). In addition, they will provide access and support to all UM-Missoula staff who will be using the system to request or review work orders.
The Work Order Center Manager position requires expertise and a working knowledge of facilities maintenance, Campus Stores operation and work order billing processes. They will assist and direct other staff in the correct coding of work requests and work flow processes, development of preventative maintenance schedules and procedures, proper documentation of Incidents and Inspections, and appropriate coding and work flows within the procurement module. The incumbent will directly supervise other Facilities Services' Work Control staff and will provide guidance, support and training to users of FAMIS on this campus and at the other University of Montana Units (UM-Western, Helena College, Montana Tech)
The ideal candidate is an energetic and positive individual who is adept at understanding FAMIS. This person must also be able to provide training and support to individuals with limited computer experience. In addition, this position requires an individual who demonstrates a high level of initiative and can perform work duties with limited supervision. They must be highly motivated, organized, diplomatic, persistent, dependable, and personable.
Required Skills
Proficiency in using Microsoft office suite of
Good working knowledge of computing systems, including operating systems, client devices (desktops, laptops, tablets, and smart phones) and peripherals (printers, scanners, and label-makers)
Demonstrated ability to self-organize and manage work time and multiple priorities
Demonstrated ability to effectively troubleshoot end-user issues and effectively escalate
Demonstrated ability to communicate technical details effectively at multiple levels; with lay users as well as with
Knowledge and understanding of facilities management issues and work order/dispatching processes and procedures.
General understanding of university non-profit
Experience with procurement policies and procedures.
Detail oriented with excellent organizational
Ability to analyzing data and compile reports utilizing various computer
Minimum Required Experience
Bachelor’s degree in a related field and two (2) years’ experience within a facilities management organization or an equivalent combination of education and experience.
