Manager, Workplace Operations – West Coast Region

Nutanix is looking for an experienced Manager of Workplace Operations that would be responsible for the West Coast region.   You will oversee 5 locations, including our headquarter buildings.  You will be partnering with EH&S, Security, Planning & Design, and Finance.  You will lead a team of Facilities Coordinators, Events, and Shipping/Receiving personnel.  This individual would report to the Director of Real Estate & Workplace, Americas.

Responsibilities

Oversee day-to-day operations of the San Jose headquarter campus, and western regional sites, ensuring that all services are effectively delivered and facility needs are met including custodial, amenities, parking, shipping/receiving, building systems and general maintenance.

Work closely with building property management in support of building systems and common area maintenance requirements.

Ability to read and understand lease contract terms; work closely with Lease Administration as it relates to properties in the western region.

Ability to manage projects, including adds/moves/changes, construction TI projects, building improvements, data/electrical requirements. Understanding of furniture systems is ideal.

Manage maintenance, vendor and service contracts cost effectively. Responsible for all aspects of service delivery pursuant to these contracts, responsible for periodic and ongoing performance and financial review, conducting RFP’s, and assuring payments and invoicing match contract pricing. Ensure contractual commitments are met.

Lead the facility management team in the supervision of maintenance programs relating to the interior and exterior conditions and appearance and operation of the facilities.

Ensure that facility management staff consistently provides positive and prompt response to requests from employee base and building tenants/occupants.

Understanding of all aspects of expense and capital budgets, financial reports (monthly and quarterly), contracts, expenditures and purchase orders related to the facility(s).

Conduct and approve all performance evaluations of facility management staff; experience hiring and training high performance teams.

Preparing facilities for Flex Desking and Hybrid work

Manage shipping/receiving, front desk reception, and oversee food/event services.

Ability to communicate effectively with partners at all levels, especially senior leadership

Experience managing cross functional projects with many internal stakeholders

Required Experience

Minimum of 7-10 years of facility management experience with at least 3 years at the level of Facility Manager

Experience hiring and performance management processes

Strong knowledge of building systems, design, and mechanicals

Ability to communicate effectively with partners at all levels, especially senior leadership

Service Now/Work Order Management experience preferred

Certified Facility Manager (CFM), International Facilities Management Association (IFMA), certifications highly recommended;

Excellent computer and systems knowledge; Strong literacy in Microsoft Office Suite (MS Word, Excel, PowerPoint)

Knowledge of Financial Systems (purchase orders, credit card reconciliations, expenses)
