College of the Arts and Media

invites applications for an

Administrative Associate Manager

to the School of Music (SoM) and the Montana Museum of Art and Culture (MMAC). This position manages and provides direction for of all fiscal activities within SoM and MMAC. The successful candidate may be responsible for student hiring, supervising student employees and/or temporary employees; consulting with their supervisor regarding employee pay and employment relationships.

Responsibilities include:

Manage and coordinate all fiscal and facility operations for SoM and MMAC.

Serve as the financial liaison among the SoM and MMAC, the Dean’s Office and other campus offices.

Develop and maintain spreadsheets to track actual costs and expense projections to budget.

Examine, analyze and interpret financial information, data, and trends to prepare operating plans and budgets.

Coordinate and perform data collection, analysis, reporting, documentation and other duties to ensure processing or development of required reports.

Serve as the unit liaison with UM Business Services Accounts Payable department regarding travel matters, and coordinate and oversee purchases and expense reporting related to unit travel.

Processes hiring cards and HR paperwork.

Oversee scholarships awards in coordination with the School of Music program coordinator and school director

Manage all School of Music and MMAC UM Foundation accounts.

Manage ProCards within the School of Music and MMAC including providing guidance to ProCard users, redistributing ProCard charges, auditing ProCards, and ensuring policies and procedures are followed.

Submit work orders.

Prepare and analyze various reports. Make recommendations on operational procedures and conduct historical financial research as needed.

Independently develop and manage budgets, budget forecasts, operating plans, and reports.

Supervise MMAC gallery attendants and student interns.

Work closely with the curator and chief gallery attendant to hire and train new attendants.

Monitor attendant schedules; look ahead to holidays, breaks, and coming semesters to make sure museum is staffed; and, along with director, monitor the work of the MMAC’s social media work-study.

Delegate duties to other administrative support staff as appropriate.

Required Skills

Strong attention to detail and ability to perform financial work with minimal errors.

Fundamental knowledge of accounting and budget management practices and procedures.

Demonstrated planning, organizational, time management, and multi-tasking skills and ability to meet deadlines in a busy, high volume, fast paced transactional environment.

Ability to work independently and as part of a team.

Demonstrated high degree of proficiency in Microsoft Suite (Excel, Word, Microsoft Office, Outlook), as well as standard office practices and procedures.

Demonstrated ability to monitor account and grant activity, reconcile accounts, and manage contracts.

Demonstrated consistency, clarity, excellent verbal and written communication skills and the ability to explain detailed financial information and concepts to “non-accounting” people will understand.

Excellent interpersonal, communication and public relations skills, including the ability to work with diverse groups of individuals, inside and outside the University and provide positive professional customer service.

Adaptability and capacity to meet challenges and learn new skills.

Ability to problem solve and make sound decisions using good judgment, tact and sensitivity and with proper treatment of confidential and sensitive information.

Minimum Required Experience

Experience to perform at this level is typically acquired with a High School diploma and four (4) years’ experience working in an accounting, budget and grants management capacity; or an Associate’s Degree in a related field, and two (2) years of experience working in an accounting capacity; or an equivalent combination of education and experience.

Preferred Qualifications

Bachelor degree in business, accounting, computer science, or a related field.

Previous experience working in higher education.

Familiarity with UM systems to include Banner, UMDW, U-Approve, and GrizMart.

Knowledge of UM, state, federal and accounting practices and budget processes.

Affinity for the Arts and Media a plus.

The museum is presently in the process of building its first permanent home on the campus, scheduled to open in fall 2023.
