The office manager is responsible for administrative procedures in a growing energetic office. Office size about 80 people but expected to grow over time.
What is the role?
The position has primary responsibility is to manage the varied administrative procedures in the office. The role will require managing multiple tasks from business management and staff support to facility operations and event planning. The office manager is the primary manager of the office, working directly with the building owner, technical staff, high level management at Shell as well as supporting all San Diego staff.
Responsibilities:
Managing Reception: visitor check-in, badge management, inventory, ordering, stocking of all office supplies, ingoing/outgoing mail and packages, receive all deliveries, conference room scheduling, meeting set up, assist all San Diego office staff and Regulatory team
Managing Building Operations: general maintenance of all office operations, keep kitchens and break rooms stocked and orderly, office equipment and backup systems, oversight of lease & parking, schedule maintenance of facility, maintain safety requirements and all operation permits, submit repair requests with building owner.
Security Focal Point: oversight of reception of visitors, vendors, customers, service technicians, maintain Prowatch badge system, GID card management, new/replace badges for staff, issue parking garage cards.
Office Focal Point: new hire employment verification and E-verify system, schedule manage annual flu clinic and wellness clinic, employee attestation, keep staff up to date with all deadlines and office communications, manage distribution list, manage any projects, repairs, remodels of the office.
Catering & Events: order all staff meals and catering needs, set up & clean up all meals, schedule and plan offsite staff events such as happy hours, dinners, retirements, holiday party, etc.
Expenses & Cost Savings: process payments for all San Diego office operations invoices, maintain list of all inventory purchased and retired annually, process invoices for Regulatory team and maintain spreadsheet of Regulatory vendor invoices.
Compliance/Training: focal person for awareness and dissemination of compliance guidelines to staff, schedule annual training days for staff (Compliance Day and Safety Day), maintain safety procedures for the office & the outside vendors/repairs.
What we need from you
Must have legal authorization to work in the US on a full-me basis for anyone other than current employer
Bachelor’s degree is preferred
Minimum 3 years of related experience
Well organized
Ability to multi-task
Proficient in MS application suite (Outlook, PowerPoint, Word, Excel, Teams)
The role will interface with a diverse group of individuals in a fast pace environment; proven customer focus
Ability to adapt and problem solve
Comfortable with continual change
