invites applications for a

Program Manager

to join their team. Reporting to the Vice Provost for Academic Affairs, this position manages the University’s curriculum processes and everything related to UM’s academic inventory, Academic Affairs policies and procedures, and other Office of the Provost projects and initiatives. This position interacts with numerous internal and external stakeholders to manage timelines and deliverables.

This position manages the following academic policies and procedures within Academic Affairs, with oversight from the Vice Provost for Academic Affairs, ensuring participation from key colleagues at the academic unit and college levels:

Program Review

Center Review

Unit Standards Review

Curriculum proposal review

Manages the CourseDog software to facilitate curriculum reviews/approvals; promotes and supports implementation of CourseDog

Manages the university’s curricular submission process to the Office of the Commissioner for Higher Education (OCHE) and the Board of Regents (BOR) for approval

Advises departments on appropriate MUS and UM forms, formatting and the submission process; develops guidelines and conducts trainings on BOR item submission procedures for departments to improve efficiency and quality of proposals

Prepares regular updates to Academic Officers on curriculum proposals within the MUS; ensures information is provided in a timely manner to allow for review and comment

Oversees the management, organization and maintenance of records of BOR submissions

Coordinates with various university offices and external stakeholders regarding implementation of curricular changes, such as: Faculty Senate Office, Registrar’s Office, Graduate School, Admissions, Marketing and Communications, Financial Aid, OCHE, NWCCU

Responsible for correct submission of substantive change notifications to NWCCU

Maintains the accuracy of the university’s academic inventory (degrees offered) and coordinates regularly with the Registrar’s Office, Graduate School, Faculty Senate Office, Admissions Office, Marketing and Communications, and the Office of Institutional Effectiveness

Maintains Central Degree Inventory and ensures accurate degree counts

Works with colleagues across campus to ensure accurate information on degree offerings is consistently used and disseminated

Maintains UM’s Degrees and Majors webpage for accuracy

Collaborates with IT and Enrollment Management to ensure this information is prioritized and accurately represented on the UM website and its many webpages

Works with colleagues across campus to ensure correct degree information is entered in Banner and other key data sources

Schedules and manages the calendar for the Vice Provost for Academic Affairs

Supports Office of the Provost initiatives through launch and implementation phases, and ensures successful transitions to their next iteration after a determined period of time. In the next 2-3 years, these may include:

Communities of Excellence or other interdisciplinary initiatives

Ad hoc task forces and work groups

Serves as backup point of contact for Office of the Provost stakeholder concerns

Addresses concerns promptly and accurately

Refers stakeholders to appropriate parties should higher-level attention be required

Logs concerns received and how they were addressed promptly so that all office staff are informed and can follow up / refer to past cases if needed.

Creates, manages, and maintains Office websites related to duties and responsibilities and collaborates with others to ensure accuracy of content

Provides support to high-level recruitments

Supervises student employees

Other duties as assigned

This position requires the incumbent to develop a working knowledge of the University of Montana and the Office of the Provost policies and procedures, internal procedures for unit standards review, as well as OCHE and Board of Regents procedures for curriculum, center, and program review.

Required Skills

Excellent project management and planning skills as well as attention to detail

Strong oral and written communication skills as well as excellent planning and organization skills

Ability to multi-task while setting priorities, and adjusting as necessary, with minimal guidance in order to meet all deadlines and achieve successful outcomes

Ability to develop and maintain effective working relationships within the office as well as with other academic and administrative divisions

Ability to design, develop, implement and direct efforts to create events, communications and projects, as well as accompanying policies and procedures, to increase the visibility of Office of the Provost initiatives and values

Demonstrated negotiation and conflict resolution skills. The ability to listen to others, take their points of view into account and persuade them to adopt new practices in the workplace.

Expert critical analysis skills and sound judgment to interpret, monitor and resolve complex matters and situations, autonomously and in conjunction/collaboration with superiors.

Proficient in Microsoft Office

Ability to learn to use UM digital tools including Cascade (web content management system)

Ability to adopt, utilize, and suggest improvements to new digital platforms that support position’s work (CourseDog).

Minimum Required Experience

High school diploma and two (2) years of relevant work experience or an equivalent combination of education and experience

Preferred Qualifications

Experience in a higher education setting or a similar work environment

Comprehensive knowledge of UM structure and protocols

A college degree or equivalent combination of experience and education strongly preferred.
